1. Free Trial Cancellation
Every new Community starts with a 30-day free trial with full feature access. During the trial:
- No payment is taken
- You can cancel anytime by simply not paying when the trial ends
- No refund is needed β nothing was charged
- Your data is retained for 90 days after trial end before deletion
2. Subscription Refunds
2.1 First-Time Subscription (Setup + Annual Fee)
When a Community subscribes for the first time, the invoice includes:
- Setup fee β one-time charge for onboarding assistance, configuration, and account creation
- Annual subscription fee β for 1 year of platform access
Refund eligibility:
- Within 7 days of payment AND no significant data entered: 100% refund of both setup fee and annual fee
- Within 7 days of payment but data entered (members, units, etc.): 100% refund of annual fee; setup fee retained
- Between 8β30 days: Pro-rata refund of unused months. For example, if you used 1 month of a 12-month plan, you'd receive 11/12 of the annual fee back. Setup fee is non-refundable.
- After 30 days: No refund. Service continues until annual period ends.
2.2 Renewal Refunds
Renewal payments add a new annual period to your subscription. Refund eligibility:
- Within 7 days of renewal payment AND the renewed period has not started: 100% refund
- Within 7 days of renewal payment AND renewed period has started: Pro-rata refund of unused days
- After 7 days: No refund
2.3 Accidental Duplicate Payments
If a duplicate payment occurs (rare, due to network issues during checkout), we will detect it and refund automatically within 7-10 business days. If you notice a duplicate, please email us with both transaction references at admin@hcmpro.in.
3. Refund Process
3.1 How to Request a Refund
Email admin@hcmpro.in with:
- Subject line: "Refund Request β [Community Name]"
- Razorpay transaction ID or invoice number
- Reason for refund
- Date of payment
3.2 Processing Time
- We will acknowledge your refund request within 2 business days
- If approved, the refund will be initiated within 5 business days
- Razorpay processes refunds to your original payment method within 7-10 business days (UPI: usually 2-3 days; cards: 5-7 days; net banking: 5-7 days)
- Total time from request to credit: typically 10-15 business days
3.3 Refund Method
Refunds are processed through Razorpay back to the original payment method used:
- UPI payment β refund credited to original UPI account
- Credit/Debit card β refund credited to original card
- Net banking β refund credited to original bank account
We cannot refund to a different account or via a different method.
4. Service Cancellation (Non-Refund)
You can cancel your subscription at any time even if you don't qualify for a refund. To cancel:
- Email admin@hcmpro.in with subject "Cancel Subscription β [Community Name]"
- Cancellation takes effect at the end of your current paid period (no further renewals will be sent)
- Your service continues until the paid period ends
- You can request a data export within 30 days of cancellation
5. Member Maintenance Dues β Important Distinction
Note for Community Members: When you pay maintenance dues via the HCMPro platform, your payment goes directly to your Community's bank account, NOT to SVTechPro. SVTechPro is only the software provider β we do not handle your dues money.
If you have a refund or dispute about a maintenance payment:
- Contact your Community Admin first (the person who manages your apartment/society)
- The Community is responsible for refunding maintenance overpayments, double payments, or disputes
- SVTechPro can provide transaction records to help resolve disputes but cannot refund money that was sent to a Community's bank account
6. Service Discontinuation by SVTechPro
If SVTechPro permanently discontinues HCMPro (we hope this never happens, but in the unlikely event):
- We will provide at least 90 days' advance notice
- You will receive a full pro-rata refund of your unused subscription period
- You will be given tools to export all your data
7. Non-Refundable Items
The following are not refundable under any circumstances:
- Setup fee paid more than 7 days ago AND community has been activated
- Subscription fees more than 30 days after payment
- Add-on services or one-time customizations completed and delivered
- Refund of any amount that has been used to pay for services already rendered
- Refund requests made after the eligible window has closed
8. Chargebacks
If you initiate a chargeback through your bank or card issuer instead of contacting us first:
- Your account may be immediately suspended pending resolution
- You may be liable for chargeback fees imposed by Razorpay
- We strongly encourage contacting admin@hcmpro.in first β most issues are resolved within 48 hours
9. Disputes
For any refund disputes:
- Contact us first at admin@hcmpro.in for resolution
- If unresolved within 30 days, you may escalate to consumer redressal forums in India
- Disputes are governed by Indian law and subject to the jurisdiction of courts in Andhra Pradesh, India (per Terms of Service Β§16)
10. Changes to This Policy
We may update this Refund Policy from time to time. Material changes will be notified to existing customers via email at least 30 days before they take effect. Changes do not apply retroactively to subscriptions purchased before the change date.
